Work Order - Scheduling

The parent Work Order on the Location Record is used to schedule resources to the location. This Work Order can remain open on the Location for an extended period and can be closed based on an agreed business process, for instance, if there's a change over in participants or the location is no longer utilised for services.

Key areas of this Work Order Record:

  • Work Order Fields

    • Work Type - defines the service that is delivered.

    • Work Order Record Type - set to Location Scheduling which defines the page layout and fields utilised for this type of Work Order.

  • Work Order Related Lists

    • Child Work Orders - these are the child Work Orders related to the Location, this relationship will give the Service Resources access to the child Work Orders which contain details about the participant that are necessary for delivering services.

    • Service Appointments - these are the appointments that Service Resources are assigned to, allowing them to see their schedule on the mobile app.

    • Resource Preferences - these are the resources that have been identified as preferred for this location and will be referenced first in automated scheduling processes.

 

From the Feed Tab on the Work Order you can see a Quick Action to Create Service Appointment.

This will allow you to schedule Service Appointments based on the schedule that you define. You can either assign a Service Resource or select to Auto Schedule which will search for a suitable resource based on the scheduling policy selected.

  • Start Date and End Date - defines the timeframe where Service Appointments will be created.

  • Appointment Start Time and Appointment End Time - defines the delivery timeframe for each Service Appointment created.

  • Days of the Week - defines the days between Start Date and End Date where Service Appointments will be created.

  • Service Resource - defines the Service Resource who will be assigned to the Service Appointments.

 

When Auto Schedule is selected the user can select a Scheduling Policy which will be used to retrieve suitable Service Resources to assign to the Service Appointments.

  • A scheduling process called SIL Scheduling Policy has been configured to support scheduling for SIL services, which focuses on Resource Preferences, Availability, Skills and vicinity to the location.
