Quick Start: Crisis Support

The following knowledge articles outline how Crisis Support is managed within AnimalOS, supporting staff to record, track and deliver services to people and animals in crisis situations.


🆘 Crisis Support Jobs

Crisis Support Jobs are created in the Crisis Support App via the Jobs tab. Each Job captures key data about the support request including:

  • Contact Details

  • Intake Information

  • Description of assistance required

  • Status tracking through the Job lifecycle (from New to Finalised or Withdrawn)

Jobs act as the central record from which all related activities, referrals, contacts, and invoicing are managed.

📍 Location Services

Location Services define the costing structure for delivering services at each Shelter or Site. On a Location record (Record Type = Site), a Location Service is used to:

  • Assign a Service List for the site

  • Define the Shelter Boarding Service and Foster Boarding Service These values are referenced when generating Movement costs, and are essential for automated cost and invoice tracking.

📧 Job Email Source

Jobs can be automatically created by sending emails to a configured handler address. When received:

  • A new Job is created with Record Type = Crisis Support

  • The Subject of the email populates the Job Subject

  • The Body populates the Job Description

  • The Job is assigned to the Intake Queue for triage

This feature allows external requests (e.g. from a public-facing support inbox) to flow directly into AnimalOS.

🐾 Crisis Support – Animal Intake

The Intake Animal action allows users to record incoming animals as part of a Crisis Support Job. It:

  • Opens a guided flow to start a new Referral

  • Captures the reason for intake and animal details

  • Links the Referral back to the Job This creates a clear connection between the Crisis Support case and the animals it relates to.

📅 Crisis Support – Calendar Integration

(If you're referring to Crisis Support Job Activities like Home Visits, this would include scheduling.) Job Activities can be created via the "Create Crisis Support Job Activity" button. These activities:

  • Can be scheduled with start/end dates

  • Linked to one or more animals

  • Assigned to Inspectors

  • Have an optional Service assigned which supports costing and invoicing

These activities can then be visualised and managed in calendar views for team coordination.

🧾 Invoice Management

The Invoice Management QA allows users to manage and generate invoices based on services delivered through:

  • Movements

  • Animal Actions

  • Job Activities

  • Medicine Used

Each of these records can be marked as Billable, and assigned a Service Price. The QA rolls up eligible items into Invoice Line Items, allowing staff to:

  • Adjust Quantity or Rate

  • Review Total Cost

  • Submit the Invoice

This provides a structured and auditable way to track and recover costs associated with Crisis Support delivery.
