WOLI & TSE Updates

This article outlines recent updates to the way Work Order Line Items, Time Sheet Entries and Invoice Line Items are created and managed.

This has only been tested for Single Participant and Single Resource Scheduling

Overview

  1. When a Service Appointment is Completed, a Time Sheet Entry is created for each Work Order Line Item related to the Work Order.

    1. IF the Service Appointment Check in/out times are within the tolerance setting (15mins), the Time Sheet Entry Status = 'Approved - Scheduled' and an Invoice Line Item is created against each Work Order Line Item.

    2. IF the Service Appointment Check in/out time is outside the tolerance, a Time Sheet Entry is Created and the Status = Submitted

    3. The User will then review the Time Sheet Entry via report against the Work Order Line Items and if any updates need to be made, they will be made against the Start and End Times on the Work Order Line Item. This will then update the Time Sheet Entry Start and End Times.

    4. When the Start and End times are updated on the Work Order Line Item and they don’t match the original Product then the Product Match will have a red icon and the user will need to select the correct Product.

Service Appointments Updates

  1. On the Service Appointment Object, two new fields have been created - Service Delivery Variance Yes/No picklist and Service Delivery Comment text field.

    1. We have added the 2 new fields to the Service Appointment Management Check Out flow; 

    2. These two fields are on the Shift Summary step and address the feedback point of needing an identifier that highlights the composition of a shift had changed even if delivered within the scheduled times.

       

Time Sheet Entry Updates

  1. On the Time Sheet Entry, Service Delivery Variance Yes/No picklist has been created

    1. When Service Delivery Variance = Yes on the Service Appointment added by the Support Worker during checkout, then it will update the same field on the Time Sheet Entry and is visible in the report. 

    2. When reviewing the Time Sheet Entry, the User can see that Service Delivery Variance = Yes and then check the Service Delivery Comment against the Service Appointment to view details left by the Support Worker.

       

Work Order Line Item Updates

  1.  

    1. Actual Start and Actual End date/time fields have been created. 

    2. Work Order Line Item Start Date and End Date dictate the Start and End dates on the Time Sheet Entry

    3. When Actual Start and End Date have values on the WOLI, they will update the Start and End Dates to match on the TSE.

    4. If there are any changes to the Start and End dates, the Quantity and Amount fields will be refactored to recognise this. 

    5. When the Product is updated, the Rate and Unit price is updated.

Product Match Logic

  1. Product Match includes logic that compares the Current linked Product with the Start and End times as well as the checkboxes.

    1. When Actual Times are added, it updates the relative checkboxes.

       

Time Sheet Entry Report

  1. Time Sheet Entry V3 report updates

    1. Grouped by Service Appointment to view each individual WOLI

    2. Service Delivery Variance added to review if the Service Appointment composition changed
