Overview

The Status Tracking feature in AnimalOS provides an audit history of an Animal’s status changes over time. Each time an Animal's status is updated, a new Status Tracking record is created. This enables staff to track how long an Animal remains in each status, whether it is in Protective Custody, Foster, Adoption, or other statuses.

Additionally, Monthly Status Tracking is captured to provide an aggregate view of how many days in a given month an Animal has spent in specific statuses.

📌 Tip: The Status Tracking feature helps organisations measure trends in Animal care, such as average foster duration or time to adoption.


1. Viewing Status Tracking

To access Status Tracking:

  1. Open the Animal record.

  2. Click on the Status Tracking tab.

  3. View:

    • Service Summary – Provides a rolled-up summary of the total days spent in Site, Foster, House, and Offsite locations.

    • Animal Status Tracking – Lists each status update with the Start Date, End Date, and Days in Status.

    • Monthly Status Tracking – Summarises the number of days per month spent in each status.

📌 Tip: Click on a Status Tracking ID to view detailed information about a specific status change.


2. How Status Tracking Works

Animal Status Tracking

  • Every time an Animal’s status changes, a new record is created.

  • The Start Date and End Date fields capture how long the Animal remains in that status.

  • The Referral Source field tracks the origin of status changes (e.g., Transfer In, Cruelty Case Offspring).

📌 Tip: Status Tracking is useful for generating reports on how long Animals typically stay in Protective Custody before being transferred to foster care or adoption.

Monthly Status Tracking

  • Automatically calculates how many days an Animal spent in a specific status within a given month.

  • Useful for tracking trends over time, such as the number of foster days per month.

📌 Tip: Monthly tracking helps shelters forecast capacity and monitor seasonal adoption trends.


3. Rollup Fields for Summary Data

To simplify reporting, rollup fields on the Animal record provide a high-level summary of status tracking, including:

  • Total Days in Status: The total number of days an Animal has spent in each status.

  • Current Days (Site/Foster/Offsite): Displays where the Animal currently is.

  • Number of Days in House/Foster/Site: A cumulative count of how long the Animal has spent in different locations.

📌 Tip: These rollup fields eliminate the need for manual calculations and allow for quick decision-making on Animal movements.
