Document Types

The relationship between the Document Type and Document objects can be described as a parent-child relationship in the context of a custom data table structure.

 

The Document Type object serves as the parent object, while the Document object is the child object. In this relationship, the Document Type object holds information about different types or categories of documents. It typically contains attributes or fields that help classify, sort, and distribute the Document Records within Salesforce.

The Document Type Object includes attributes such as:

Document Type Name

The dentifier for each document type.

Required

When Required = True, all records defined by the distribution rules will be created with a Document Record relating to the Document Type.

Object

Object is a part of the distribution rules for determining which objects Document Types are available on

Verification Required

 

Record Type

Dependant on the Object nominated, this will define which record type the Document will be available on.

No End Date

When No End Date = True, in the Upload Document Version step, there will be no Expiry Date field or No Expiry checkbox visible.

Role

Role is the final part of the distribution rules and is explicitly available for Staff-related Document Types. These will be available only for Staff Contacts who have the matching Role.

Expiry Matters

When Expiry Matters = True, in the Upload Document Version step, the No Expiry checkbox will be hidden

Category

Category is used for categorisng and sorting Document Types

Sharing Group

Sharing Group is comprised of a set of values based on the My Support System Profiles. Selected Profiles define which groups of Users will have access to the Document Type.

Skill

Skill is a lookup to Skill records.

Sharing Group Criteria

Sharing Criteria is a formula field of the above used in the configuration of Sharing Rules to nominate which groups of Users have access to the Document Type.

Document Version Field Set

This identifies which Field Set is displayed in the Upload Document Version step. Field Sets contain additional attributes needed against a particular Document Type and these are visible when on a Document Version record.

Document Type Skills

Document Type Skill records are created against a Document Type to link together Skills that are acquired as part of possessing this Document type.

Document Type Skills then link to Service Resource Skillsand when a valid Document record is upload, this link is created via a trigger keeping Skill end dates in sync.

The related records then link to preferences and Service Resource management when assigning Service Resources to Service Appointments.

 

Documents

The Documents related list shows all Document records related to the Document Type.
